Position Focus: Under the supervision of the Head of the Digital Services Unit, performs a variety of digital library functions including creating metadata, quality control and other enhancement activities. Creates digital library metadata for a wide range of materials in many languages and formats, including medieval, renaissance and modern manuscripts, photographs, books, serials, and maps. Uses MS Excel and Ladybird, YUL’s web-based application for processing digital library collections, to import and edit digital library metadata. 1. Using established procedures, create metadata records for special collections materials for ingest into the Beinecke’s Digital Library by importing data from cataloging systems (Voyager, ArchivesSpace). Search Orbis and other databases to obtain information for the description of materials including access points, appropriate subject headings, and genre term headings. Occasionally, create original metadata for Digital Library images.
2. Search Digital Library to check if items requested for digitization have been previously digitized.
3. Use both online interfaces and Excel spreadsheets to edit existing metadata for images in the Digital Library and resolve issues identified by staff and/or researchers.
4. Updates MARC and ArchivesSpace records with URL links to digital reproductions as needed.
5. Assist with Digital Library metadata maintenance projects as needed.
6. May help coordinate movement of materials for unit, in consultation with Access Services and Materials Transfer units. Retrieve and push heavy book trucks.
7. Perform other related duties as required.
Essential Duties 1. Serves as a source of information on established procedures and policies. 2. Oversees, instructs and coordinates activities of staff. Creates new, descriptive catalog records, primarily in literature, without supplied bibliographic data. 3. Performs member copy cataloging tasks as well as Library of Congress copy cataloging tasks and revises records with database copy. 4. Identifies problems and seeks resolution with other library units to resolve conflicts or inaccuracies in the catalog or database. 5. Resolves problems with complex bibliographic and holdings record. 6. May add or modify bibliographic and holdings information. May perform a range of cataloging functions. 7. Searches for bibliographic data with incomplete information or source material in catalogs, files, and databases. 8. Performs clerical function incidental to library activity.
Required Education and Experience Six years of related work experience, four of them in the same job family at the next lower level, and high school level education; or four years of related work experience and an Associate’s degree; or little or no work experience and a Bachelor’s degree in a related field; or an equivalent combination of experience and education.
Required Skill/Ability 1: Demonstrated ability in using online library management system; knowledge of word processing, spreadsheet applications, and electronic mail. Demonstrated proficiency with MS Office applications and ability to adapt to technological change.
Required Skill/Ability 2: Accuracy and attention to detail related to data entry.
Required Skill/Ability 3: Demonstrated ability to interact and communicate, orally and in writing, tactfully and effectively with a wide variety of staff, and use correct grammar, spelling, and punctuation in written communications such as correspondence, reports, and documentation.
Required Skill/Ability 4: References must indicate excellent attendance and punctuality, a demonstrated ability to learn quickly and handle changes effectively, maintain accuracy and attention to detail despite interruptions, handle multiple projects simultaneously, meet deadlines, and to be an effective contributor to a fast-paced, production-oriented project environment.
Preferred Education, Experience and Skills: Experience in the use of Orbis, ArchivesSpace, or a comparable library content management system. Previous experience working on digital projects and with digital reformatting technologies. Experience with library cataloging practice and procedures. Prior rare book library or special collections experience.
Physical Requirements Ability to push heavy book trucks and lift heavy materials up to 40 lbs.
