Vault Leader/Archive Manager is a multi-faceted position that oversees the not only the workflows of our team of Archivists, data creation, flow, backup and delivery, but is also the first and most crucial link in our responsibility to our clients, their projects, and the safe handling of their artifacts. The position will involve working M-F in a private, climate-controlled vault. Your mission is to manage, grow, and expand our Archivist’s accuracy and efficiency while reducing waste.

Duties: (may include but are not limited to)

Oversee all Archivist activities, including: ensuring best archival practices, managing schedules, setting and ensuring day-to-day client goals are met, and maintaining open communication and expectations about workflow progress with the Client Relations team
Oversee 3-4 private vaults and their contents
Complete scanning/metadata generation
Manage orders for supplies, equipment, and maintenance
Serve on asset management team and provide input on development of policies, workflows and programs for records management, digitization of collections, and preservation needs
Devise and implement efficient and secure procedures for data management and analysis with attention to all technical aspects
Oversee data migration from Excel and Filemaker Pro to and among Iron Mountain’s digital content repository, and Inveniem’s proprietary web-based platform
Continually improve/adjust cataloguing processes as needed to eliminate errors and improve efficiency
Be ready for last minute requests, and remain patient, calm, and flexible
Troubleshoot data-related problems and authorize maintenance or modifications and clean up irrelevant or duplicated data
Execute daily backups of all metadata.
Help manipulate data provided by clients (in a variety of forms) into the fields needed for our purposes (which requires some knowledge of coding and the ability to write scripts to map the data)
Train Archivists as needed, learning and using their strengths, helping them through weaknesses
Set project milestones and regularly determine priorities of current work in Jira
Hold curiosity and drive to understand the story behind each client and their legacy

Education and Experience Requirements:
Undergraduate degree in Computer Sciences, Informational Sciences, or a related field, and/or a Master’s degree in library science, or a related social science from an appropriately accredited institution and four years of progressive experience in archives, records, and data work; or an equivalent combination of education and experience.

Previous experience conducting treatment of special collections, including rare or valuable, one-of-a-kind materials/unique data is preferred.
At least one year of experience overseeing one or multiple teams of five or more employees is preferred.
