GENERAL JOB DESCRIPTION
Full-time Registrar and Historiographer in the Episcopal Diocese of Virginia

MAJOR DUTIES AND RESPONSIBILITES
REGISTRAR
• Official custodian and manager of diocesan records, responsible for the receipt, care, arrangement, management, description, and access to the non-current paper and electronic records of the Diocese of Virginia of permanent administrative, fiscal, legal, and/or historical value in accordance with standard archival practice, Episcopal canon law, U.S. and Virginia civil law, and the “Manual of Business Methods in Church Affairs” of the Episcopal Church.
• Develop, implement, and administer records retention schedule for paper and electronic records of the diocesan officers and staff at Mayo House.
• Identify, request, and receive from committees and officials of the Diocese of Virginia papers records and/or electronic records not routinely sent to Mayo Memorial Church House and enter them into the paper or electronic Archives.
• Assess, process, arrange, describe, and enter into the Archives old diocesan paper records of enduring value unsystematically boxed, filed, or stored in the past in various locations of Mayo Memorial Church House.
• Incorporate into the Archives at Mayo House, diocesan records held by the Bishop Payne Library, Virginia Theological Seminary, 1991-2020.
• Consult with congregations regarding the retention and preservation of administrative, fiscal, legal, and historical records and documents.
• Receive, collect, appraise, arrange, describe, preserve, and provide access to additional materials pertaining to the Diocese of Virginia received or obtained from other outside sources.
• Process and store non-archival records for allotted retention period and oversee and document their destruction.
• Collect and archive the permanent records of closed and closing churches of the Diocese of Virginia.
• Provide certificates of confirmation and, when possible, baptism, from the past from the archival records of confirmations and parish registers of closed churches.
• Provide research guidance and public access by appointment to non-confidential archival records of the Diocese of Virginia.
• Maintain accurate, current lists of:
o Clergy of the Diocese of Virginia in Order of Canonical Residence.
o Surviving Spouses of deceased canonically resident clergy of the Diocese of Virginia.
• During voting at Conventions of the Diocese of Virginia, receive signed papers copies of the results of all ballots from the Head Teller and Chief Judge as they occur, for inclusion in the Archives.
• Other duties as assigned.
HISTORIOGRAPHER
• Primary historical officer of the Diocese of Virginia.
• Provide historical research support and/or guidance to diocesan staff and governmental and administrative bodies.
• Upon request by officers or governmental bodies of the Diocese of Virginia conduct extensive historical research with a full written report detailing the history and development of specific diocesan institutions or other diocesan matters.
• Aid congregations in exploring their history.
• Respond to public inquiries concerning the history of the Diocese of Virginia, its churches, its clergy, and its lay leadership.
• Upon the death of canonically resident clergy and noted lay leaders, conduct rapid research of their life and ministry for production of death notification to the Diocese of Virginia.
• Assist in the production of the Journal of the Diocese of Virginia by:
o Providing requested lists.
o Reviewing for consistency various lists submitted for
the Journal.
o Researching and writing full page Necrologies of the
life and ministry of canonically resident clergy, widows,
and widowers of deceased canonically resident clergy,
and noted lay leaders for the Journal of the Diocese of
Virginia who died in the past year.
o Indexing the volume.
• Compile and disseminate diocesan heritage in various forums and formats.
• Other duties as assigned.
Knowledge, Skills, and Experience:
• Education: BA degree with an emphasis on history, computer science, or library science and records management and/or archival training or course work.
• 1-2 years training or experience in an archives or records management program for both paper and electronic records.
• Knowledge of generally accepted archives and records management practice.
• Knowledge of automated databases, archives and records management software, and general computer skills.
• Knowledge of the Episcopal Church is preferred.
