DEPARTMENT DESCRIPTION
Archives and Art Resources
The Archives and Art Resources (AAR) department includes the museum’s collections information management, digital asset management, archives and records management, imaging, and intellectual property programs.
Archives and Records Management
The Archives is responsible for the museum’s Records Management Program. In this capacity, the Archives staff develops strategies, plans policies, and implements guidelines to ensure the orderly transfer and disposition of museum documentation so that the museum’s historical record is complete.

POSITION DESCRIPTION
The Records Management (RM) internship aims to provide the intern with a well-rounded experience and offers them an opportunity to learn more about the records management profession. The Records Management intern will work one-on-one with the Associate Records Manager to create a records retention schedule for the Archives and Art Resources department. The RM Intern will survey active and inactive AAR records, meet with department stakeholders to better understand records management practices, and develop a schedule in consultation with the Associate Records Manager, Archivist/Records Manager and Director of Archives and Art Resources. The intern will also have the opportunity to observe and/or participate in records management projects, such as records retrieval, records disposition (transfer or destruction of inactive records, both analog and electronic), supporting SFMOMA’s departing employee workflow, and participating in the record retention schedule update process with departments across the museum.

PROJECT PLAN
Week 1: Get to know the SFMOMA Records Management Program
· Learn about the SFMOMA Records Management Program including its relationship with the SFMOMA Archives, its history, its role at the museum, and its policies and procedures
· Meet the team and learn about each person’s role and path to SFMOMA
· Research and review current state and federal records retention requirements for non-profit organizations
Week 2-10: Producing a records retention schedule for Archives and Art Resources:
· Familiarize oneself with existing records retention schedules for Archives and Collections Information and Access (AAR’s predecessors)
· Survey active and inactive AAR records
· Meet with AAR colleagues to learn about and document records management practices across the department
· Develop a department records retention schedule
Week 2-10: Completing records management tasks as assigned:
· Observe and participate in SFMOMA’s Records Management Program projects, including records transfers, records retrieval, records destruction, records retention schedule updates (for departments other than AAR), and SFMOMA’s departing employee workflow
By the end of the internship, the Records Management intern will have:
· Produced a records retention schedule
· Participated in a broad variety of records management tasks
· Gained experience developing and using records retention schedules to manage active and inactive records, including records disposition

EDUCATIONAL OBJECTIVES
· Gain experience in records management in a modern and contemporary art museum context
· Collaborate across museum programs, functions, and departments to carry out records management tasks.
· Develop research, information management and problem-solving skills
· Introduce the intern to core competencies of the records management professions through a combination of the assigned project and mentoring

ADDITIONAL INTERNSHIP PROGRAMMING
The Summer 2024 Internship will offer 10-weeks of hands-on experience and mentorship along with weekly presentations and discussions with various departments in the museum, off-site educational visits within the Bay Area community, and access to various tours and events within the museum.

QUALIFICATIONS & SKILLS
· Must be a current student in or recent graduate of a Masters-level program in library science, records management / administration, museum studies, or related program. SFMOMA recognizes a graduation date within 6 months of the internship start date as a recent graduate.
· Detail-oriented and extremely organized
· Interest in records management
· Proficiency with Microsoft Office Suite, Microsoft 365 (including Teams and Sharepoint), and task-management applications such as Asana and Airtable

$7,000 – $7,000 one-time
$7,000 pre-tax stipend paid out in a one-lump sum after start date

· Two letters of recommendation from either a college professor or former employer.
· College transcript: Transcripts can be unofficial but need to be legible.
