Job Title: Head of Cataloging
Reports to: Archives Director

Purpose

The Head of Cataloging is responsible for overseeing all aspects of the arrangement and cataloging of the archive’s collections. They will be working on developing controlled vocabularies, hierarchical structures within the collections and the application of standards that will be put in place throughout the archive. They will supervise a team of archivists and ensure the arrangement and description of materials in all formats is in accordance with national standards and local requirements. The Head of Cataloging will collaboratively develop workflows and procedures, providing guidance and support to their team. They will work closely with the Archive Director and Head of Digital Assets to coordinate projects and align objectives. This is a full-time, exempt position reporting to the Director of the Archive.

The position will include, but will not be limited to, the following tasks:

• Manage cataloging and processing staff in the day-to-day departmental operations.
• Responsible for hiring and retaining department staff, the on-boarding and training of direct reports and stays accountable for the performance of employees.
• Supervise a team; resolve employee relations issues and ensures work completion within schedule and constraints. Will lead weekly team meetings and provided one-on-one meetings with staff whenever needed.
• Ensures completed records go through appropriate QC process and regularly reviews the work of their team, providing guidance and feedback.
• Keeps abreast of emerging trends and best practices and passes that information along to the cataloging team.
• Coordinates the department’s work plan and initiatives, policies and procedures responsive to the archive’s mission, goals, and objectives.
• Develop, maintain, and advise on standards, policies, procedures, and other types of documentation related to cataloging and metadata to build continuity and sustainability of operations.
• Maintain and update cataloging and processing manuals.
• Works closely with the digital team to help identify priorities for digitization.
• Meet regularly with the Archives Director on projects status and timelines.
• Assist archive with other projects as needed.


Qualifications/Key Skills Required

• MLIS from an ALA-accredited institution
• 5+ years archival & cataloging experience
• Motivated, creative, team-oriented, and collaborative personality
• Strong supervisory, training and problem-solving skills with a minimum of 2 years management experience
• Deep understanding of metadata standards, controlled vocabularies and taxonomies
• Demonstrated skill in organizing or managing projects, balancing priorities, and setting and meeting deadlines
• Exceptional attention to detail, even when working under pressure
• Familiarity with basic preservation of archival materials, including proper handling, housing, and storage
• Experience working with and cataloging a wide variety of archival materials, including three-dimensional objects, photographs and textiles
• Understanding of the film industry and terminology a plus
