We are seeking administrative support to staff and public in the Archival Services Branch to perform administrative tasks, primarily processing felony expungement orders, and in the review, evaluation, development, and implementation of agency’s activities.

Job duties:

Provides administrative support to Division staff who are involved in agency program administration, marketing, and outreach for the Archival Services Branch and Division of Archives and Records Management.
Drafts routine correspondence.
Tracks expungement order requests, processes orders, and sends out completed certifications.
Maintains expungement records for the agency.
Serves as point of contact for the Archives Research Room by providing desk coverage and assisting customers.
Inputs all correspondence requests received by the Research Room into the database.
Tracks and maintains a database of online orders from origination to completion.
Creates reports from logs to compile monthly statistics for services provided by the Archives Research Room.
Collects and analyzes data on active projects to create activity reports for the Branch.
Reviews agency website for needed updates and determines preservation needs for archival collections.
Creates, organizes, and maintains finding aids for microfilm, digital, and original records to assist customers in the Archives Research Room.
Updates holdings lists for State Archives Center and State Records Center monthly.
Processes or indexes records.
Provides input in areas where customer service improvements can be made.
Performs other duties as assigned.

Minimum Requirements
EDUCATION: Graduate of a college or university with a bachelor’s degree.

EXPERIENCE, TRAINING, OR SKILLS: One year of professional, administrative, or business experience.

Substitute EDUCATION for EXPERIENCE: Additional education will substitute for the required experience on a year-for-year basis.

Substitute EXPERIENCE for EDUCATION: Additional administrative, business, research, and/or clerical experience will substitute for the required education on a year-for-year basis.

Incumbents working in this job title primarily perform duties in an office setting.
Probationary Period
This job has an initial and promotional probationary period of 6 months, except as provided in KRS 18A.111.
