Newman’s Own Foundation is seeking proposals for an Archivist to support the setup and cataloging of physical and digital archives to ensure accurate inventory, storage, and documentation of Paul Newman and the Foundation’s collections. Items include tapes/videos, posters, artwork, furniture, sculptures, awards, packaging, and other objects—with some personal items as well! The Foundation is also seeking support organizing digital assets on our Digital Asset Management system, Air. The collection is located at Newman’s Own Foundation’s office in Westport, Connecticut.
Scope of Work
Part I: Creation of Catalog Convention and Timeline
• Assess collection and propose timeline for archive project
• According to best practice, recommend and setup a system/document for cataloging physical assets
• Establish naming conventions and numbering/labeling conventions of items
• Recommend storage and preservation, particularly for delicate items
• Create a “how-to” document
Part II: Archive Collection (Westport, CT)
• Catalog physical collection according to your newly established system, taking care to note items of value (ex: items signed by Paul Newman)
Part III: Digital archive organization (Remote with some time in Westport, CT)
• Working with existing data and files on the Air platform, support organization of digital assets (owned photos, licensed photos, Grantee Partner photos, videos, news clips, etc.)
o Link to physical archives
o De-dupe as needed
o Support metadata accuracy and tagging as needed
o Support sorting out status of Getty image/video footage licenses (deducing what files are currently licensed and what licenses are expiring/expired)
Documentation/Photography (Westport, CT) – to discuss
• Recommend system and photograph of physical assets that do not already have digital documentation
While the project should start in January 2025 and be completed before April, we are open to talking about different approaches and working schedules within that time.
