Contract Processing Archivist

Location: hybrid (NCAA National Office, Indianapolis, IN)

Pay rate for contractor(s): $25-30/hour, dependent on experience.
Number of hours to be worked: Approximately 180 hours between July 7-August 29, 2025.
Total budget: $7,000.00
Hours: 22.5 hours a week. The bulk of the hours will be completed on Monday and Tuesday (in office) from 8 am-3 pm. The rest of the hours can be completed anytime virtually or remotely, Wednesday through Friday.

Purpose:
The NCAA Library is tasked with archiving the NCAA’s historical records, many of which are now over a century old. Historical documents must be carefully scanned so they can be archived in the NCAA’s digital library, Soutron. This summer, we would like to contract skilled Librarians/Archivists to assist with both digitizing and electronically tagging delicate (i.e., onion skin) historical documents. We are seeking up to 180 hours of paid labor at $25-30/hour for a total of $7,000. Having this assistance this summer will allow the NCAA Librarian to make significant progress on historical archiving between July 7 and August 29.

Responsibilities:
• Under the direction of the NCAA Librarian, the archivist will scan and upload collections of NCAA historical documents into the integrated library system (ILS), Soutron.
• The Contract Processing Archivist will assist with a variety of archival tasks. The key focus will be on the reduction of the accessioning backlog.
• The archivist will process and organize physical assets and properly tag all uploaded documents for easier searchability in the ILS.
• The scope of work includes archival preservation, arrangement, and description of the collection according to professional and current archival standards, best practices, national strategies, and AAA’s internal policies, procedures, guidelines, and established workflows. Processing work will include the production of a high quality DACS (Describing Archives: A Content Standard) finding aid.

Required Education, Skills, and Experience:
• Must be in the Indianapolis area
• Candidates should possess an MLIS/MIS from an ALA- accredited institution.
• Familiarity with archival best practices
• Experience with archival processing.
• Strong attention to detail.
• Demonstrated ability to analyze, organize, and prioritize.
• Working knowledge of Microsoft Office, especially Word.
• Familiarity with ILS systems.
• Ability to work independently
• The selected contractor is expected to be a trained professional archivist with at least two past projects that included processing, preserving, surveying, or assessing archival collections.
