This position serves as the main point of contact for the accessioning of physical materials into the Archive from a variety of internal and external locations. They are also responsible for generating lists of requested deliverables from the principal’s works; and follow through to the physical or digital accession of those items into the archive. Coordinates with relevant parties to ensure timely delivery of materials, that proper shipping and handling procedures are being followed and providing accurate and complete metadata to the cataloging archivists. Works with the Archives Manager to secure appropriate space for arriving materials and be on-site as needed to supervise pick-ups and deliveries of assets. Local travel will be required.
This is a full-time, non-exempt position reporting to the Director of the Archive.

The position will include, but will not be limited to, the following tasks:

• Liaison with professional offices, family members and various properties to facilitate acquisitions.
• Meeting with and training new hires on accessioning best practices and procedures.
• Tracking on-going projects to acquire relevant materials for the archive.
• Create acc for all incoming items, and alert relevant parties if items are missing or arrive damaged.
• Optimize workflows for the collection and accessioning of both physical and born-digital archival materials.
• Assist in planning and projections to maximize vault space.
• Build and maintain relationships with various offices and property managers, as well as costume and auction houses.
• Assess existing collections for gaps in holdings and locate additional materials to complete collections. Submit recommendations to Archive Director.
• Ensure accurate inventory counts, cross checking all shipping labels and documents against received items.
• Track and log all fine art pieces purchased, received or moved within all properties.
• Assist on various projects as needed.



Qualifications/Key Skills Required

• MLIS or MLS from an ALA-accredited institution required
• 3+ years of experience working in an archival setting
• Film terminology knowledge a plus
• Self-motivated, creative and team-orientated personality
• High level of professionalism and integrity with the capacity to maintain confidentiality
• Strong knowledge of archival metadata schemas and collection management systems
• Ability to lift 35+ pounds
• Experience juggling multiple projects and deadlines
