POSITION DESCRIPTION
Title: Archives and Records Management Technician
Location: Baltimore City Archives and Records Management Center
Department: Department of Legislative Reference – Records Management Division
Type: Contractual; Part-Time; On-Site
Supervisor: City Records Management Officer
Schedule: 3 days per week, 8:30 a.m. – 4:30 p.m. (approx. 24 hours/week)
Compensation: $22/hour (not benefits eligible)
Term: Six months, with the possibility of extension up to one year
Overview
The Baltimore City Archives is seeking a detail-oriented, motivated individual with an interest or background in archives, library science, information studies, records management, or related fields for a contractual part-time Archives and Records Management Technician position.
This role provides hands-on experience in physical records management, archival logistics, inventory control, and warehouse operations. The position focuses primarily on physical records handling including moving heavy boxes, shelving, auditing, and preparing city records for transfer or disposition while also offering opportunities to learn archival workflows, digital preparation tasks, and records management procedures.
Essential Job Functions
60% – Warehouse Relocation, Audits, and Disposition
• Relocate approximately 1,600 boxes weighing up to 50 lbs from upper warehouse shelving using a work-assist vehicle to reach heights up to 15 feet.
• Assist with a shelf-by-shelf audit to verify, correct, and update inventory data.
• Palletize records for secure destruction in accordance with approved retention schedules.
15% – Inventory Verification and Data Entry
• Review and update detailed inventories.
• Verify incoming and outgoing records against inventory lists.
• Use computers and internal tracking systems to record inventory information and document movement of records across the Archives and city agencies.
15% — Box Assembly, Rehousing, and Material Movement
• Move record cartons and files between pallets, shelving, and the searchroom using dollies, handcarts, ladders, pallet jacks, and work-assist vehicles.
• Lift, push, pull, and maneuver boxes weighing up to 50 pounds.
• Assemble, pack, unpack, and rehouse record cartons and archival boxes; replace damaged boxes as needed.
10% — Researcher Services and General Support
• Observe facility and report irregularities, missing or damaged items, and security concerns
• Use scanning equipment to prepare digital files for researchers and agency users.
Minimum Qualifications
• Ability to safely lift and move boxes up to 50 pounds.
• Ability to climb ladders and operate a work-assist vehicle to access shelving up to 15 feet high (training provided).
• Basic computer skills, including data entry and inventory tracking.
• Strong attention to detail and ability to follow instruction.
• Reliability, punctuality, and the ability to work both independently and collaboratively.
Preferred Qualifications
• Enrollment in or recent completion of an undergraduate or graduate program in Archives, Library and Information Science (LIS), Information Studies, Records Management, Public History, or related field.
• Experience working in a warehouse, archive, library, museum, or similar environment.
• Familiarity with archival handling, metadata entry, or records inventories.
Working Conditions
• Work performed primarily in an active records warehouse with dusty boxes and shelving.
• Masks and gloves may be recommended depending on conditions.
• Exposure to temperature fluctuations, dust, and occasional allergens.
• Frequent lifting, bending, climbing, and prolonged standing.
• Regular use of a work-assist vehicle and ladders for shelving access up to 15 feet.
• Some duties performed in a research/searchroom environment.
