After a 4 year hiatus, the Western Archives Institute (WAI) is back and gearing up for a new, virtual program in Summer 2026. At this time, WAI is hiring an Online Program Coordinator. The position will come with an annual $1,500 stipend. Applicants should have experience and/or familiarity with archival education, online learning, and project management.

The Online Program Coordinator is responsible for the daily operations of the Western Archives Institute (WAI) while the institute is in session and acts as the liaison between the students, faculty, and WAI Management Committee.

About the WAI: Founded in 1986, WAI is a continuing education program for individuals whose jobs require a fundamental understanding of archival skills, but have little or no formal archives education; those who have expanding responsibility for archival materials; those who are practicing archivists but have not received formal instruction; and those who demonstrate a commitment to an archival career. We seek to reach new participants, particularly those developing and caring for community archives in underserved communities.

Responsibilities
-Serves as a member of the WAI Management Committee (composed of the Administrator, Associate Administrator, Online Program Coordinator and SCA Board liaison).

-Pre-Program
-Participates in applicant selection process
-Communicates with faculty and students
-Coordinates with iSpring Learn facilitator for faculty training
-Coordinates the Faculty Bootcamp
-Maintains communication with Administrator and Associate Administrator

-During program:
-Conducts “WAI Welcome Session” and “WAI Close Out”
-Works to set the tone of the program and promote camaraderie among participants
-Trouble-shoots any issues arising during the program
-Maintains communication with the Administrator and Associate Administrator
-Goes over Statement of Expectations and House Rules
-Uploads course materials to the Learning Management System at least 48 hours in advance of sessions
-Makes announcements at beginning and end of sessions, and asks if there are any technical or other problems
-Serves as Zoom host for live meetings with control of the waiting room, passwords, private chatting, screen sharing, muting, etc
-Shares links to session evaluations with participants
-Reminds participants of submission deadlines for evaluations
-Liaises with support technicians as technical problems arise
