The American Battle Monuments Commission (ABMC) Records Management Office requires a contractor (Contractor) to assist with records management support tasks to include but not limited to:
i. Records review
ii. Inventory of blueprints
iii. Creation of series arrangement
iv. Application of retention disposition
v. Creation of box and folder lists of approximately 250 cubic feet of physical (paper based) records.

Work will be organized in phased groups from 16 or more different records transfers from ABMC’s overseas cemetery sites (approximately 100 cu ft), as well as all records currently held at ABMC headquarters offices (previous transfers from overseas sites, approximately 150 cu ft):
• Records have been stored in a non-archival storage environment and may be unorganized and un-foldered.
• Records may include 8”x10” and 11”x14” modern standard office paper, as well as historical documents on onion paper, maps, blueprints, and photographs.

In coordination with the ABMC Records Manager, the records will be:
a. Reviewed against the Agency’s records schedules (i.e., current, and new draft).
b. Organized by series, re-foldered with new labels, and box and folder inventories created in an Excel spreadsheet.

Upon completion of the records review and inventory phases by the Contractor, the collections will be sent out to ABMC’s digitization contractor for digitization. The Contractor will also be responsible for assisting in tracking what records have been received and what records have gone out for digitization. Upon return of all digitized records, the Contractor shall assist with the creation of finding aids at the collection level as well as organizing the digital folders and files into series which match the ABMC records schedules.

Contractors must be registered in the U.S. Government SAM (System of Award Management) System before starting contract. Please allow time for SAM application processing if you are new to government contracting.
