The mission of the Office of the Arizona Secretary of State is to provide services throughout the state to:

Preserve our history;

Promote engagement; and

Protect the future

As a division of the Secretary of State, the State Archives collect, preserve, and provide access to permanent public records, historical manuscripts, photographs, and other materials that contribute to the understanding of Arizona’s history. The State Archives also assists state agencies, local governments, and political subdivisions with managing their public records pursuant to A.R.S. §41‐151.12 through §41‐151.18 and provides records storage, retrieval, disposal, and preservation services to public bodies statewide.

The Archival Technician will work under the supervision of the Lead Archivist to inventory, describe, arrange, and assess the State Library’s master microfilm collection. Key responsibilities will include daily inventorying and arranging microfilm reels according to established guidelines, creating standardized entries, and updating records in a database. This position will be essential in developing new policies and workflows to assist in managing the microfilm vault effectively and efficiently. This position is grant-based, and the hours must be fulfilled by September 30th, 2025.

Duties/Responsibilities include:

Process archival collections under the supervision of the Lead Archivist and according to established best practices; enter information into a content management system.

Assist the Lead Archivist with special projects and other essential duties related to the microfilm vault.

Assist in the development of efficient workflows and processes.

Assist with maintaining the microfilm vault records for preservation.

Other duties as assigned as related to the position.

Knowledge, Skills, Abilities:

Microsoft Outlook, Word, Excel, Access and G-Suite

Airtable

Monday.com

Archival processing principles, practices, and techniques

Familiarity with basic records management principles and concerns

Skill in proper handling of archival materials

Skill in conducting research

Excellent organizational skills

Excellent written and verbal skills

Ability to carry out tasks with minimal supervision

Familiarity with microforms and appropriate standards related to description and preservation

Required Qualifications:

Must be able to pass a background check

Preferred Qualifications:

Bachelor’s degree in history or a closely related field.

Experience with or ability to learn archival theory and practices related to description, arrangement, and preservation.

Experience working with microforms.
