An established artist’s studio is seeking an extremely detail oriented and highly organized Archives/Registration Assistant with an engaged, thoughtful and cooperative approach.
Under the direction of the Studio Director/Head of Archives, the Archives/Registration Assistant supports the maintenance of the studio’s established archival systems and is highly involved in preservation and access activities for past and future projects. This includes the artist’s daily practice and the materials that support it as well as documentation and materials for exhibitions, publications and special projects including physical records, digital files and photographs.
Key Responsibilities:
Maintain and monitor digital and physical files within established storage systems and file structures
Create and update studio database records and server files
Assist with digitization and studio photography workflows
Assist with the assessment, rehousing and arrangement of artist’s exhibition and source materials and records
Track artist’s biographical, exhibition, and publication records
Maintain physical artist and project files
Maintain supplies for physical archives and records storage
Assist with artwork tracking including monitoring movements within studio buildings as well as generating external releases, consignments, and loan forms
Support the coordination of artwork photography, framing, and shipping
Help maintain and track studio inventory numbers and assist with inventory audits
Assist with exhibition planning requests
Provide exhibition catalog and studio publication project support, including access to images, basic copyediting, colorproofing, and fact-checking
Assist with compiling materials and information for future catalog raisonne projects
Respond to provenance requests for exhibitions and for works offered at auction
Help maintain studio library, library catalog and new book acquisitions
Provide internal reference assistance related to the studio database (reports and inventories), images, archives, and library materials
Assist with research for and acquisitions of furniture and artwork for artist’s personal collection
Assist with assessment and arrangement of studio’s operational records
Assist with website maintenance
Required Skills and Abilities:
Outstanding organizational skills with a special attention to detail, accuracy and quality control
Demonstrated knowledge of ArtBase or a similar art collection management software/database
Demonstrated knowledge of Adobe Creative Suite, Google Workspace
Experience with digital cameras, scanning applications, and audio/visual digitization practices
Familiarity with preservation best practices
General knowledge of modern and contemporary art and design
Demonstrated professional, self-motivated attitude
Ability to easily switch between fast-paced and slow methodical work
Excellent written and oral communication skills
Strong critical thinking and problem solving skills
Ability to work independently, as well as part of a team
Ability to adhere to studio protocols and systems
Ability to work in a variety of environments including offices, warehouses, and residences
Ability to lift up to 35lbs (from time to time, to move boxes or books)
Qualifications:
Bachelor’s degree with degree or coursework in Library/Information Science, Archives/Records Management, Art History, or related field
Previous experience in an art studio, gallery, arts organization, archives, or library setting
$28-$30/hr depending on experience (plus benefits)
5 days per week
Studio hours are Monday – Friday, 9am to 6pm
