POSITION: Archives Librarian/Librarian for Research, Outreach, and Education
DATE: July 2016
CLASSIFICATION: Professional Library Staff
DEPARTMENT: Medical Center Archives
REPORTS TO: DUMC Archivist/Director, Medical Center Archives & Digital Initiatives

GENERAL DESCRIPTION:
The Duke University Medical Center Library seeks a qualified individual for an entry level reference librarian/archivist position. This position is responsible for assisting in activities involved in the research, outreach, education and dissemination of a variety of historically valuable Medical Center records and documents and promoting archives to the greater Medical Center and University communities.

Leadership
• Contributes to short and long range planning for Archives Services.
• Helps identify, develop and implement new resources and programs.
• Evaluates and ensures the quality of reference and research services.
• Works with Duke Medicine departments, educational programs, and faculty, as well as other Duke libraries to recommend, implement and evaluate new services and resources.
• Meets with administrators, department chairs, and other key leaders to promote archival services and assess the departmental needs.
• Contributes to strategic planning, budget, personnel, and policy decisions.

Administrative Duties:
• Ensures that accurate and current departmental policies and procedures are maintained.
• Helps prepare and submit the archives budget.
• Promotes opportunities for training and continuing education for department staff to enhance their expertise in relevant areas.
• Ensures collection and reporting of departmental statistics.

Archival Research and Outreach
• Provides in-person and remote reference services for Archives users and assists researchers;
• Creates bibliographies relating to medical education, research, and practice; updates such bibliographies previously produced by Archives staff;
• Recognizes and restricts confidential information according to FERPA, HIPAA, and University policies on access to records;
• Performs outreach activities on behalf of the Archives;
• Oversees the development of paper and Web-based marketing and educational materials explaining the purpose, services and resources of DUMC Archives.
• Maintains and contributes to the digital projects collections on MEDSpace;
• Plans, prepares, and publicizes exhibits featuring Archives’ holdings;
• Plans, organizes, and promotes Archives-related public programming;
• Promotes use and understanding of the Archives’ holdings for teaching and research at Duke;
• Provides bibliographic instruction for medical history materials;
• Prepares displays for special meetings and classes;
• Works with the Director to acquire and preserve official DUMC publications including the collection of archival material from non-official sources, such as private papers of faculty or staff members, student publications and records of student organizations and activities, and papers and memorabilia from alumni.
• Establishes research services for Duke and non-Duke researchers and recommends fees for service when appropriate.

General operations/management
• Recommends changes to services and staffing.
• Helps develop short-term and long-range plans for archival services and its staff members.
• Collaborates with University Archives on standards, procedures, and policies whenever feasible.
• Determines fiscal requirements and helps prepare budgetary recommendations.
• Contributes to strategic planning, budget, personnel, and policy decisions.
• Professionally active in appropriate societies and associations.
• Ensures collection and reporting of departmental statistics.

Other Duties:
• Serves on library task forces and committees and represents the Medical Center Library & Archives externally.
• Serve as library’s representative on Duke, TRLN and other external committees as appropriate.

QUALIFICATIONS:

Education/Experience:
• Masters degree from a program on archives, library science or public records management is preferred.
• Or, 2 to 3 years experience in records administration, archival material collections, library, history-related or other related experience to obtain skills necessary to acquire, organize, store and disseminate historically valuable university records.
• Or, documented equivalent combination of relevant education and/or experience.

Specific Skills/Knowledge:
• Demonstrated management and leadership skills.
• In-depth knowledge of archival and records management standards and techniques, and the development of finding aids and other archival tools for retrieving and access records.
• Knowledge of trends in the field, such as digital archiving.
• Ability to build a network of contacts and relationships with key leaders, administrators, and support groups throughout the University.

• Well-developed organizational and planning skills.
• Familiarity with budget preparation and monitoring of expenses.
